Q1: How do I start planning an educational trip for my class?
A: Planning should begin 12 to 18 months prior to the trip. Start by identifying destinations aligned with your curriculum and get school leadership approval. Next, engage with a Happymiles Program Coordinator who will assist in customizing a program to your needs. Begin student recruitment and parent engagement 6 to 8 months before departure. Early planning allows better availability and pricing.
A: Share your curriculum standards and learning goals with us. Happymiles will tailor activities, site visits, and workshops to support your subjects such as history, ecology, or art. We provide clear learning outcomes and produce pre-trip and post-trip educational materials to deepen understanding.
A: The minimum group size is 15-20 students to ensure meaningful interaction, typical group sizes range from 40-50 students, and the maximum size is 60-80 students, depending on destination logistics. Larger groups require more coaches and staff supervision, which Happymiles arranges.
A: Teachers are integral partners. Before the trip, they help prepare students and communicate with parents. During the trip, they co-supervise alongside Happymiles facilitators and subject-matter experts/storytellers. They also help to maintain discipline among students & manage the group of students assigned to them. Post-trip, teachers facilitate reflection and classroom integration of learning.
A: Yes, all programs are flexible. You can adjust the itinerary, choose specific activities, workshops, and pacing to better fit your teaching goals and student needs.

Logistics & Organization

A: Required forms include signed parental consent, medical history and emergency contacts, behavioral agreements, passport copies (for international trips), and visa documentation. These should be sent to Happymiles at least 6-10 weeks before the trip.
A: This is completely dependent on the contract and agreement between School & Happymiles.Teachers may collect payments from parents or parents may pay directly to Happymiles via installment plans. Payment schedules and reminders are provided to help manage this process smoothly. The Happymiles App also can be used for payments & program specific updates.
A: For school groups, teacher-to-student ratio is 1:10 plus Happymiles staff at 1:20. For college groups, teacher-to-student ratio is 1:20 plus Happymiles staff at 1:20. All staff are background checked and trained in first aid and child safeguarding. Faculty are responsible for discipline following school policies.

Learning & Assessment

A: Assessments include student reflections, presentations, journals, and participation observation. Happymiles provides photos and facilitator reports to support your assessment needs.
A: Yes, if the trip aligns with curriculum and school policies. Happymiles provides necessary documentation and supports credit approval processes whenever applicable.
A: Happymiles provides destination guides, worksheets, video resources, lesson plans, and reflection templates for both before and after your trip. (Available on request & as per the requirement)

Behavior & Emergencies

A: Happymiles maintains the following supervision ratios:

  • School Groups: 1 teacher for every 10 student + Happymiles staff at 1:20 ratio

  • College Groups: 1:20 teacher-to-student ratio + Happymiles staff at 1:20 ratio
    All supervision staff are trained in child safeguarding, first aid, and emergency protocols. Staff members include experienced educators, adventure specialists, subject-matter experts/storytellers, and medical professionals where appropriate. This structure ensures comprehensive supervision while maintaining educational focus.

A: Any disciplinary action required on the trip is the responsibility of the faculty/chaperones traveling with the group. Happymiles facilitates safe and structured environments, but it is the school’s responsibility to take any necessary action based on their internal policies.

  • Behavioral Management: Faculty and chaperones supervise discipline as per school guidelines and Happymiles’ safety protocols

Before Your Trip

Q1: What is an educational tour and why should I go?
A: An educational tour is a special trip where you learn by visiting real places related to your studies, like historical sites or nature spots. It’s a fun way to connect what you read in books with exciting real-life experiences.
A: Family trips are mostly for fun and rest. Educational tours have a schedule with learning activities led by teachers and experts. You discover, explore, and learn with your friends in a safe group. Time is of the essence as fixed time bound appointments are made and the day is planned in such a way that you enjoy every learning experience. Any delay will impact this.
A: You will visit important places, do workshops, try new adventures, and work in teams. You’ll meet experts who tell stories and teach you about the places we visit.
A: Your classmates, your teachers (1 teacher for every 10 students in school groups or 1:20 in college groups), Happymiles staff (1:20 ratio), and subject-matter experts/storytellers.

A: Device rules depend on the program type and your school’s policy. Some trips may let you carry laptops or tablets for learning activities, but usage is supervised. Phones are usually limited to emergency use and scheduled calls only. Always follow your teachers’ instructions about device use.

During the Trip

A: Stay with your group, listen carefully, be respectful of others and local places, no bullying or fighting, and follow safety instructions. We will also have a pre-departure meet and context setting on the program to keep you in the loop.
A: It’s normal to feel nervous at first. Talk to a teacher or Happymiles staff anytime. You’ll feel better once you get started.
A: Tell an adult immediately. We have first aid kits and access to doctors. Your family will be informed once we consult with the doctors & fully understand the situation.
A: Wake up, breakfast, learn and explore with experts, lunch, afternoon activities, reflection time to talk about the day, dinner, and sleep.
